Part I – Information Bizzilo collects and controls
What information Bizzilo collects:
Bizzilo collects information about you solely for legitimate purposes. Bizzilo obtains information about you if (a) you provide it yourself, (b) it is automatically collected, or (c) it is obtained from a third party. Below, we outline the various scenarios falling under each of these categories and the information collected in each scenario.
Information provided by you:
i. Account signup: Upon signing up for an account to access one or more of our services, we request information such as your name, contact number, email address, company name, and country to complete the account signup process. Additionally, you'll choose a unique username and password. While optional, you may also provide additional information such as your photo, time zone, and language. This additional information is not required for account signup but can be provided.
ii. Event registrations and other form submissions: Information submitted includes event registrations, newsletter subscriptions, form submissions for downloads, contest entries, survey responses, or customer support requests.
iii. Payment processing: When making a purchase, we require your name, contact information, and payment details. Credit card information, when submitted, is stored in an encrypted format for future payments if authorized with our payment gateway in a secured way through tokenisation.
iv. Testimonials: If you authorize us to post testimonials about our products and services on websites, we may include your name and other personal information in the testimonial. Before posting, you'll have the opportunity to review and approve the testimonial. If you wish to update or delete your testimonial, you can contact us at privacy@bizzilo.com.
v. Interactions with Bizzilo: We may record, analyze, and use your interactions with us, including email, telephone, and chat conversations with our sales and customer support professionals, to improve our interactions with you and other customers.
Information collected automatically:
i. Information from browsers, devices, and servers: When visiting our websites, we collect information that web browsers, mobile devices, and servers make available, such as internet protocol addresses, browser types, language preferences, time zones, referring URLs, dates and times of access, operating systems, mobile device manufacturers, and mobile network information. We include these in our log files to better understand visitors to our websites.
ii. Information from cookies and tracking technologies: We use temporary and permanent cookies to identify users of our services and enhance user experience. Unique identifiers are embedded in our downloadable products to track usage. We also use cookies, beacons, tags, scripts, and similar technologies to identify visitors, track website navigation, gather demographic information, understand email campaign effectiveness, and engage targeted visitors and users by tracking activities on our websites.
iii. Information from application logs and mobile analytics: We collect information about your use of our products, services, and mobile applications from application logs and in-house usage analytics tools to understand how your use and needs can improve our products. This information includes clicks, scrolls, accessed features, access times and frequencies, errors generated, performance data, storage used, user settings and configurations, and devices used to access and their locations.
Information collected from third parties:
ii. Referrals: If someone has referred any of our products or services to you through any of our referral programs, that person may have provided us with your name, email address, and other personal information. You may contact us at privacy@bizzilo.com to request the removal of your information from our database. If you provide us with information about another person, or if another person gives us your information, we will only use that information for the specific reason for which it was provided to us.
iii. Information from our reselling partners and service providers: If you contact any of our reselling partners or express interest in any of our products or services to them, the reselling partner may provide us with your name, email address, company name, and other information. If you register for or attend an event sponsored by Bizzilo, the event organizer may share your information with us. We may also receive information about you from review sites if you comment on any review of our products and services, and from other third-party service providers that we engage for marketing our products and services.
Purposes for utilizing information:
Apart from the previously mentioned purposes, we may utilize your information for the following:
Communication: We may communicate with you, such as through email, regarding products you've downloaded, services you've signed up for, changes to our Privacy Policy or Terms of Service, or important notices.
Updates and Notifications: Keeping you informed about new products, services, upcoming events, offers, promotions, and other relevant information we believe may interest you.
Surveys and Feedback: Requesting your participation in surveys or soliciting feedback on our products and services.
Account Management: Setting up and maintaining your account, along with other necessary actions for providing our services, such as enabling collaboration, providing website and mail hosting, and backing up and restoring your data.
Product and Service Improvement: Understanding how users interact with our products and services, monitoring and preventing problems, and continuously improving our offerings.
Customer Support: Providing customer support services and analyzing and enhancing our interactions with customers.
Fraud Detection and Prevention: Detecting and preventing fraudulent transactions and other unlawful activities, reporting spam, and safeguarding the rights and interests of Bizzilo, our users, third parties, and the public.
Records Management and Expansion: Updating, expanding, and analyzing our records, identifying new customers, and providing products and services that may be of interest to you.
Website Administration: Analyzing trends, administering our websites, and tracking visitor navigation to better understand user preferences and provide assistance accordingly.
Marketing Campaign Enhancement: Monitoring and enhancing marketing campaigns and making relevant suggestions to users.
Legal bases for information collection and utilization:
If you are an individual from the European Economic Area (EEA), the legal bases for collecting and utilizing your information by Bizzilo depend on the context and the personal information concerned. Most of our information collection and processing activities are typically based on:
- Contractual necessity,
- One or more legitimate interests of Bizzilo or a third party that are not overridden by your data protection interests, or
- Your consent.
Sometimes, we may be legally required to collect your information, or we may need it to protect your vital interests or those of another person.
Withdrawal of consent:
If we rely on your consent as the legal basis for processing your information, you have the right to withdraw your consent at any time. However, this will not affect any processing that has already occurred.
Legitimate interests notice:
In cases where we rely on legitimate interests as the legal basis, and these interests are not specified above, we will clearly explain to you what those legitimate interests are at the time of collecting your information.
Your choice in information use:
You have several options regarding the use of your information:
Opt-out of non-essential electronic communications: You can unsubscribe from newsletters and other non-essential messages using the ‘unsubscribe’ function included in such messages. However, you will still receive essential notices and emails, such as account notification emails, security incident alerts, and essential transactional and payment-related emails.
Disable cookies: You have the option to disable browser cookies before visiting our websites. However, this may affect certain website features.
Optional information: You can choose not to provide optional profile information, such as your photo, and you can delete or change your optional profile information. You also have the choice not to fill in non-mandatory fields when submitting any form on our websites.
Parties with whom we share your information:
All Bizzilo group entities have access to the information covered in Part I. We do not sell any personal information. We share your information only as described in this Privacy Policy and only with parties who adopt appropriate confidentiality and security measures, including:
Employees and independent contractors: Employees and independent contractors of relevant Bizzilo group entities have access to the information covered in Part I on a need-to-know basis and are required to adhere to this Privacy Policy.
Third-party service providers: We may share your personal information and aggregated or de-identified information with third-party service providers we engage, such as marketing and advertising partners, event organizers, web analytics providers, and payment processors, who are authorized to use your personal information only as necessary to provide their services to us.
Domain registrars: When you register a domain through Bizzilo from domain name registrars, we share your name and contact information, such as your physical address, email address, and phone number, with them in accordance with ICANN domain registration rules.
Reselling partners: We may share your personal information with our authorized reselling partners in your region for the purpose of contacting you about products you've downloaded or services you've signed up for. You will have the option to opt out of continued partnership with a particular partner.
Marketplace application developers: When you install or purchase any application developed using Bizzilo's APIs posted on our online marketplace, your name and email address will be shared with the developer of the application for direct engagement. Bizzilo does not control how developers use your personal information, as it is based on their own privacy policies.
Other scenarios: Additional scenarios in which we may share the same information covered in Parts I and II are described in Part III.
Your rights as a data subject:
If you are in the European Economic Area (EEA), you have the following rights with respect to your information held by Bizzilo, regardless of your place of residence:
Right to access: You have the right to access (and obtain a copy of if required) the categories of personal information we hold about you, including its source, purpose, processing period, and parties with whom it is shared.
Right to rectification: You can update or rectify any inaccuracies in the information we hold about you, based on the purpose for which it is used.
Right to erasure: In certain circumstances, such as when your information is no longer necessary for its original purpose, you have the right to request the deletion of your personal information.
Right to restriction of processing: You may request the restriction of your information's use in certain circumstances, such as when you object to our use of your data, pending verification of overriding legitimate grounds.
Right to data portability: You have the right to transfer your information to a third party in a structured, commonly used, and machine-readable format, in cases where the information is processed with your consent or by automated means.
Right to object: You may object to the use of your information in certain circumstances, such as its use for direct marketing purposes.
Right to complain: If you have any grievances regarding the way we collect, use, or share your information, you have the right to lodge a complaint with the appropriate supervisory authority. This right may not apply if there is no data protection supervisory authority in your country.
Retention of information:
We retain your personal information for as long as necessary for the purposes stated in this Privacy Policy. In some cases, we may retain your information for longer periods as permitted or required by law, such as for legal claims, tax, accounting, or compliance purposes. When your information is no longer needed for legitimate purposes, we will either delete or anonymize it from our active databases and securely store it until deletion is feasible.
Part II – Information Bizzilo Processes on your behalf
Information Provided to Bizzilo and Its Purpose:
You may choose to provide information to Bizzilo, either as an individual or on behalf of your organization, in connection with the use of our services or when requesting technical support for our products. This information may include data concerning your customers or employees if you are a controller, or data that you utilize on behalf of another entity for a specific purpose, such as providing services to a customer if you are a processor. This data may be stored on our servers during your use of our services or shared with us as part of a request for technical support or other assistance.
Mobile Device Information:
Certain mobile applications offered by Bizzilo may require access to features on your mobile device such as the camera, microphone, call history, contacts, photo library, files, and other stored information. This access is necessary for these applications to function effectively. Additionally, if you grant permission, location-based information may also be collected for purposes such as locating nearby contacts or setting location-based reminders. Any location-based information collected is shared exclusively with our mapping providers and used solely for mapping user locations. You have the option to disable access to this information within the settings of your mobile device. Data stored on your mobile device and any associated location information accessed by mobile applications will be used within the context of the respective applications and may be transferred to and associated with your account in the corresponding services or products, or remain with you unless explicitly shared with us.
Ownership and Control of Your Service Data:
We acknowledge that you retain ownership of your service data. You have complete control over your service data, including the ability to access it, share it through supported third-party integrations, and request its export or deletion.
Utilization of Service Data:
We process your service data based on the instructions you provide through various modules of our services. For example, when you create an invoice using our invoicing service, customer information such as names and addresses are used for invoice generation. Similarly, when utilizing our campaign management service for email marketing, email addresses from your mailing list are used for sending emails.
Push Notifications:
If you opt-in to receive notifications on our desktop or mobile applications, push notifications will be sent through a push notification provider such as Apple Push Notification Service, Google Cloud Messaging, or Windows Push Notification Services. You can manage your notification preferences or deactivate notifications by adjusting settings within the application or device.
Entities with Whom We Share Service Data:
Bizzilo Group and Third-Party Sub-Processors: Other entities within the Bizzilo group and third-party service providers may be engaged to provide services and technical support for our products.
Employees and Independent Contractors: Our employees and independent contractors may access your service data for purposes such as error identification and resolution, email verification, or image verification. Access to your service data is restricted to specific individuals and is logged and audited.
Collaborators and Other Users: Some products or services allow collaboration with other users or third parties, enabling them to view certain profile information or collaborate on shared documents.
Third-Party Integrations: Most of our products and services support integrations with third-party products and services. Enabling these integrations may allow third parties to access your service data and personal information.

Retention of Information:
We retain data in your account for as long as you continue to use Bizzilo Services. Upon termination of your Bizzilo user account, data will be eventually deleted from the active database during the next scheduled clean-up, which occurs every six months. Data deleted from the active database will also be removed from backups after three months.
Data Subject Requests:
If you are from the European Economic Area and believe that we store, use, or process your information on behalf of one of our customers, please contact the customer to access, rectify, erase, restrict processing, object to processing, or export your personal data. We will assist our customer in responding to your request within a reasonable timeframe.
Part III – General
Protection of Children's Personal Information:
Our products and services are not intended for individuals under the age of 16. Bizzilo does not knowingly collect personal information from children under the age of 16 for its own purposes. If we become aware that a child under 16 has provided us with personal information, we will take steps to promptly delete such information. If you believe that a child under 16 years of age has provided personal information to us, please contact us at privacy@bizzilo.com with the relevant details, and we will take appropriate action. However, while using our products, you may collect information about individuals who are minors. If you process information related to minors, you acknowledge and agree that you are responsible for complying with applicable laws and regulations related to the protection of such personal information.
Security Measures for Your Information:
At Bizzilo, we prioritize data security. We have implemented robust administrative, technical, and physical safeguards to prevent unauthorized access, use, modification, disclosure, or destruction of the information you entrust to us. If you have any concerns regarding the security of your data, we encourage you to review our Security Policy or reach out to us at security@bizzilo.com with any questions you may have.
International Data Transfers and Locations:
We may share your personal information and service data within the Bizzilo Group and with third parties engaged by the Bizzilo Group for the purposes outlined above. By using our products and services, or by providing personal information or service data to us in any other manner, you acknowledge that the processing, transfer, and storage of your personal information or service data may occur in the United States of America, the European Economic Area (EEA), and other countries where Bizzilo operates. Such transfers are subject to appropriate data protection agreements, including a group company agreement based on the EU Commission’s Model Contractual Clauses for data processing activities governed by the GDPR. Data Processing Addendum:
To assist you in meeting your data protection obligations, we are prepared to enter into an appropriate Data Processing Addendum (DPA). You can request a DPA from Bizzilo by completing this form. Once we receive your request, we will provide the DPA for your review and signature.
Utilization of Automation and Artificial Intelligence:
To enhance productivity and predictive capabilities for our users, we utilize various technologies, including regex parsing, template matching, artificial intelligence, and machine learning. To uphold our commitment to respecting your privacy and confidentiality expectations, we only make limited use of service data for these technologies. This includes using anonymized excerpts of service data to improve algorithm accuracy and utilizing your organization's data to develop organization-specific models. Our automation and artificial intelligence technologies primarily rely on our organization's data, such as internal communications, interactions with customers, internal documents, and information from free and paid external sources.
Handling Do Not Track (DNT) Requests:
Some internet browsers feature 'Do Not Track' (DNT) capabilities, which send a signal (DNT signal) to websites visited, indicating a user's preference not to be tracked. Currently, there is no standard governing how websites should respond to these signals. Therefore, we do not take specific action in response to DNT signals at this time.
External Links and Privacy:
Certain pages on our websites may contain links to external websites not covered by this Privacy Policy. If you choose to provide personal information to these third-party sites, your information will be subject to their respective privacy policies. We recommend exercising caution and reviewing the privacy practices of these third parties before sharing any personal information.
Public Blogs and Forums:
We host publicly accessible blogs and forums on our websites. Please be aware that any information you share on these platforms may be used to contact you with unsolicited messages. Exercise caution when disclosing personal information on our blogs and forums, as Bizzilo is not responsible for publicly disclosed personal information. Your posts and certain profile information may persist even after terminating your account with Bizzilo. To request the removal of your information from our blogs and forums, contact us at privacy@bizzilo.com.
Social Media Widgets:
Our websites feature social media widgets, such as Facebook "like" buttons and Twitter "tweet" buttons, allowing you to share articles and other content. These widgets may collect information such as your IP address and website navigation data, and may use cookies to function properly. Your interactions with these widgets are governed by the privacy policies of the respective companies providing them.
Disclosure in Compliance with Legal Obligations:
We may be obligated by law to preserve or disclose your personal information and service data to comply with applicable laws, regulations, legal processes, or governmental requests, including those related to national security requirements.
Enforcement of Our Rights:
We may disclose personal information and service data to third parties if we believe such disclosure is necessary to prevent fraud, filter spam, investigate suspected illegal activity, enforce our agreements or policies, or protect the safety of our users.
Business Transfers:
While we do not anticipate selling our business, in the event of a sale, acquisition, or merger, we will ensure that the acquiring entity is bound to uphold our commitments to you. We will notify you via email or through prominent notices on our website of any changes in ownership or the use of your personal information and service data. We will also inform you of any choices you may have regarding your personal information and service data.
Adherence to Privacy Policy:

Notification of Policy Changes:
We reserve the right to modify this Privacy Policy at any time, with notification provided through service announcements or email to your primary email address. Significant changes affecting your rights will be communicated at least 30 days in advance of the changes taking effect. However, if you have not verified your email address, you may miss important notifications sent via email. If you believe that the updated Privacy Policy affects your rights concerning the use of our products or services, you may terminate your use by notifying us via email within 30 days. Continued use of our products or services after the effective date of changes to the Privacy Policy will constitute your agreement to the modified policy. Minor changes to the Privacy Policy will not trigger email notifications. If you have concerns about the use of your personal information, we recommend periodically reviewing privacy policy.
